A merchant can be sold on the relationship, ready to move forward, and still never become an active account. The problem often starts after the contract is signed, when the urgency of the sales process gives way to an onboarding experience that feels slower, less coordinated, and harder to navigate.

Most providers watch sales performance closely because they know exactly what a lost prospect costs. Onboarding rarely gets the same attention, even though the commercial risk is just as real. A merchant who gets frustrated halfway through verification and walks away represents revenue that was already close to being won.
The reasons are usually mundane rather than dramatic. A document request is unclear, an update takes longer than expected, or the merchant is asked for information they thought they had already supplied. Friction builds gradually, and the process begins to feel like more work than the merchant expected when they agreed to come on board.
That is why the percentage of signed merchants who actually become active matters so much. If a provider is winning business at the front end but losing a meaningful share of those merchants before they begin processing, growth is lost in the gap between signing the merchant and getting them live.
Improving onboarding does not mean weakening verification, compliance, or underwriting requirements. It means making the process easier for merchants to follow and easier for internal teams to manage. Clear requirements, better visibility, and fewer unnecessary delays can make a significant difference in whether a merchant reaches activation or starts looking elsewhere.
The impact becomes more important as acquisition increases. Bringing in more signed merchants only creates value if the onboarding process can carry that growth through to active processing relationships. Otherwise, more sales simply create more opportunities for revenue to leak out before it begins.
A strong onboarding process protects the work already done to win the merchant and gives that relationship a better chance to become long term revenue.
